Managed Services: Vendor management / Relationship Solutions

RFP Management

We study the process from many points - business, technical, financial, security, quality. At the end of this study we have a complete process definition that will lead us to the requirements and RFP. This study is followed by RFP and facilitating responses from potential providers.

Proposal Evaluation & Selection

Services under Proposal evaluation include - Experience evaluation, Financial stability, Security & quality measures, Executive leadership, Location visits, Knowledge retention methods, Project management, Communication, Employee retention, Training, Disaster recovery planning & management, Intellectual property protection, Employee training, and many more. At the end of this phase we provide you with a comprehensive options-evaluation matrix, shortlist of providers to negotiate further.

Negotiations Selection

In this phase, we work with your process team, legal team and offshore provider to draft Service Level Agreements (SLAs) and negotiating contract. Before finalizing provider, we highly encourage that you as buyer should visit offshore provider and see location, team and leadership that you will be possibly working with. We will help you with logistics and all other matters related to such visit. At the end of this phase you will have SLAs, negotiated contract and precise transition plan.

Contract Management

Documented processes and automated tools offered by Mantra can greatly ease the burden of contract management, though it can easily be a full-time job on large scale projects, Mantra can help you to manage it effectively.

Communications Planning

The Communication Planning defines the information and communications requirements of the project stakeholders: who needs what information, when will they need it, and how will it be given to them. The planning contains details of all the formal communications activities that will occur throughout the project, such as point of contacts, counterparts, status reports and county meetings.

Interface Management

The Interface management Plan defines the Project Office (Buyer's Steering Committee) processes for managing the system interfaces. The Project Office supports interface management by establishing and maintaining agreements between buyer and Service provider for any interfaces that require data. Mantra helps buyers by establishing proper Interface management for an offshore service providers.

Escalation Process Planning

The Escalation Process is used to ensure critical items are raised soon enough to prevent impacts or embarrassments to the project, and to ensure the appropriate parties are informed and involved in critical decision making. The project should always strive to make decisions and address issues at the lowest possible level, however when a resolution cannot be made, the items should be escalated to ensure a decision is made before it can cause project impacts.
